Job Description

We are seeking a highly organized, proactive, and resourceful Personal and Business Assistant to support the two owners of a growing mental health company, Mosaic Behavioral Health . This role is based in Philadelphia, PA with remote flexibility, but travel will sometimes be required. The ideal candidate will serve as our right hand—anticipating needs, staying two steps ahead, and ensuring schedules, projects, and daily responsibilities run smoothly while maintaining discretion and professionalism.

About the Role

This position blends executive-level business support with personal assistant responsibilities for the two owners of a mental health company. From managing calendars and business operations to coordinating personal errands, household needs, and travel, the successful candidate will be a go-getter who thrives in a fast-paced environment .

Key Responsibilities

Administrative & Business Support

  • Manage calendars, schedule meetings, and coordinate travel.
  • Draft, edit, and manage professional correspondence and reports.
  • Track projects, deadlines, and deliverables.
  • Assist with expense reports, invoices, and light bookkeeping.
  • Act as the first point of contact with clients, staff, and vendors.

Personal Assistance

  • Schedule personal appointments, reservations, and errands.
  • Coordinate with household vendors and services.
  • Manage personal and family travel arrangements.
  • Track personal commitments such as events, gifts, and key dates.

Organizational Management

  • Keep files and records organized and accessible.
  • Anticipate needs and proactively problem-solve.
  • Ensure priorities and tasks are completed on time.
  • Provide seamless support across both business and personal responsibilities.

Qualifications

  • Proven experience in administrative, personal, or executive assistant roles.
  • High flexibility — comfortable adjusting to changing schedules and priorities.
  • Exceptional organizational skills and attention to detail.
  • Strong communication skills, both written and verbal.
  • Proficiency with Microsoft Office Suite, Google Workspace, and productivity tools.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Discretion and professionalism in handling sensitive matters.
  • Must be able to travel as needed.

Preferred Skills

  • Familiarity with bookkeeping and financial tracking.
  • Experience with social media and marketing support.
  • Event planning or project coordination background.

Job Types: Full-time, Contract

Pay: $25.00 - $30.00 per hour

Expected hours: No less than 25 per week
